Make sure your staff get their thanks

Gratuities – tips and service charges – allow customers to leave thanks to the people who make their martinis, deliver their dinners, or brush through the perfect blow out.

With the Employment (Allocation of tips) Act having come into effect since 1 October 2024 ensuring all gratuities reach workers fairly, we’re here to help you stay in control by making it easier – from setting up staff profiles to printing waiter totals reports. Enabling tips on your card reader

To enable gratuities on your card reader, your device will have to be updated with the support of our team. You can do this by contacting our helpdesk on 0808 105 4324, 8am – midnight, 7 days a week.

Once this has been enabled, the cardholder will be asked whether they would like to add a gratuity during the sale.

Setting up staff profiles

To create accounts for staff members on your reader:

1. Press the menu button twice
2. Choose ‘Supervisor Menu'
3. Enter your supervisor code (this is the code you set when you installed the machine)
4. Choose 'Helpdesk menu' and then 'Select Function’ and enter function code ‘40’
5. Select 'Waiter ID' and ‘Add’ and press ‘Ok’
6. Use the on-screen keyboard to enter the staff member’s name and press ‘Ok’

Repeat the process for each staff member.

To request a list of user IDs set up, press 'print' then 'Ok'.

Printing a tip totals report

1. Press the menu button twice and select ‘Totals/Reports’
2. Enter your supervisor code (this is the code you set during product set up)
3. Scroll down to select ‘Waiter Totals’, then press ‘Ok’ to print your waiter totals report
4. Your report will print and your card reader will return to the home screen, ready to take payments

Alternatively, a prompt to print the waiter totals report will show when your end-of-day banking report is complete.

Please note: waiter IDs are not printed when values are zero.

To enable gratuities on your card reader*, your device will have to be updated with the support of our team. You can do this by contacting our helpdesk on 0800 161 5343, Monday to Friday, 8am – 6pm.

Once this has been enabled, the cardholder will be asked whether they would like to add a gratuity during the sale.

*Gratuities cannot be enabled on Smartpay Anywhere card readers.

Setting up staff profiles

To create accounts for staff members on your reader:

1. Press the menu button until ‘System Menu’ appears
2. Choose ‘Select Function’ and enter function code ‘40’
3. Swipe your supervisor card or input your supervisor code (this is the code you set when you installed the machine)
4. Press ‘Yes’, highlight ‘Add’ and press ‘Ok’
5. Enter the staff member’s name and press ‘Ok’

A receipt will print showing the waiter ID and name. Repeat the process for each staff member.

Printing a tip totals report

1. Press the menu button until ‘Totals Menu’ appears
2. Select ‘Waiter Totals’ and swipe your supervisor card
3. Press ‘Ok’ to print your waiter totals report – your report will print and your card reader will return to the home screen, ready to take payments

To enable gratuities on your Smartpay Touch card reader, you will be required to change your device settings:

1. Login to the Smartpay Touch portal
2. Select Configure > Profiles > Edit > Hardware
3. Change ‘Use On-Device Tipping’ to ‘Yes’
4. On your card reader, update the settings from the login screen to ensure the tipping option will be added for every card transaction

Setting up staff profiles

To create accounts for staff members on your reader:

1. Press the menu button (the button with three horizontal lines)

2. Choose 'Staff'

3. Select 'New' and enter the staff member’s details



To create accounts for staff members on the Smartpay Touch portal:



1. Press 'Config'
2. Choose 'Staff'

3. Select the 'New Staff Member' option and enter the staff member’s details

Printing a tip totals report

1. Login to the Smartpay Touch portal – you can learn how to do this on page 11 of the quick-start guide
2. Select ‘Reports’
3. From the ‘Report Selector’ menu dropdown, select ‘Staff Report’

You should now be able to view tip totals, as well as tip values split by staff member.
